Power Apps FAQ
Power Apps questions, answered.
The questions we get asked most by teams thinking about their first Power App, covering cost, timescales, licences, where the data lives and what happens once the app is live.
Frequently asked questions.
What is Microsoft Power Apps?
Power Apps is the low code app platform that comes with Microsoft 365. It is used to build business apps that run on a phone, tablet or browser and connect to SharePoint, Dataverse, Excel, SQL Server, Dynamics 365 and a long list of other services.
How much does it cost to build a Power App?
We give you a fixed price after a requirements workshop, based on the number of screens, the approval flows behind the app and the systems it connects to. The Power Apps cost guide goes through what affects the price.
How long does it take to build a Power App?
A simple app takes 2 to 4 weeks. An app with approval flows, a Dataverse data model and connections to other systems takes 6 to 12 weeks from the workshop to a tested app in your tenant.
Is Power Apps included in Microsoft 365?
A version is. Microsoft 365 licences let people use apps that work with Microsoft 365 data such as SharePoint lists and Excel files. Apps that use Dataverse, premium connectors or systems outside Microsoft 365 need Power Apps Premium.
What does Power Apps Premium cost?
Microsoft lists Power Apps Premium at $20 per user per month, paid yearly, with a lower rate for organisations buying 2,000 seats or more. Microsoft has announced that Premium prices go up for new purchases and renewals from 1 January 2027, so it is worth checking the current price on Microsoft's pricing page or with your licensing partner.
Can we still buy the Power Apps per app licence?
Microsoft stopped selling the per app licence to new customers on 2 January 2026. Existing Enterprise Agreement customers can keep renewing it, and it is still available through Cloud Solution Providers. For everyone else the options are Power Apps Premium or pay as you go through Azure.
Should the data go in SharePoint or Dataverse?
SharePoint lists work well for smaller apps and need no extra licence. Dataverse is the better choice when you have a lot of records, related tables, finer grained security or several apps sharing the same data, but it needs Power Apps Premium. We recommend one or the other in the workshop, with the licence cost alongside.
Can you turn our Excel spreadsheet into an app?
Yes. We move the data out of the spreadsheet into a SharePoint list or Dataverse and build the app on top of that, so several people can use it at once without overwriting each other and you can control who sees what.
Will the app work on phones and tablets?
Yes. Power Apps run in the Power Apps mobile app on iOS and Android, in a browser and inside Microsoft Teams, and we design the screens for the devices your people actually use.
Who looks after the app once it is live?
We train the people who will maintain it and hand over documentation. If you would rather we looked after it, we offer ongoing support for fixes, changes and new features.
